Purpose of the position

  • The Technical Administrator ensures the smooth and efficient operation of the technical department through a variety of administrative duties. This includes managing documentation, processing purchase orders and invoices, and supporting the Technical Director in day-to-day activities. The role also involves overseeing training schedules and regulatory compliance, ensuring the department meets its operational targets and maintains high standards in its reporting and documentation processes.

Main activities and responsibilities

  • Administrative Support: Manage daily administrative tasks to ensure smooth departmental operations.
  • Technical Director Assistance: Provide day-to-day support to the Technical Director by coordinating tasks, ensuring timely and accurate documentation, and facilitating smooth communication within the department.
  • Documentation & Filing: Maintain a comprehensive filing system for personnel records, technical manuals, and departmental procedures, ensuring easy access to data and compliance with internal standards.
  • Technical Publications: Maintain and distribute digital technical publications, ensuring all relevant documentation from manufacturers and regulatory bodies is up to date and accessible.
  • Purchase Orders & Invoices: Handle the processing, follow-up, and archiving of purchase orders, and verify service provider invoices in alignment with finance procedures.
  • Reporting: Develop and distribute KPI reports for the technical department to monitor performance and support decision-making.
  • Library & Stock Management: Manage the technical library and control the stock of technical documents and forms, ensuring everything is properly catalogued and monitored.
  • Project Support: Assist the technical team on various projects such as aircraft phase-ins, ensuring smooth project execution.
  • Supplier Performance Monitoring: Track and report supplier performance on cost, quality, and service, facilitating corrective action as needed.

Requirements and qualifications

  • Secondary School or equivalent education required.
  • Experience in an aviation/aeronautical environment is a plus.
  • Strong organizational skills with the ability to prioritise tasks and meet deadlines.
  • High level of accuracy and attention to detail in processing figures, financial records, and official reports.
  • Proficiency in computer systems such as BoCount and Manufacturer Administrative Portals are an asset.
  • Excellent document management and administrative skills with a strong command of MS Office.
  • Fluent in English; French and Dutch are an asset.
  • Familiarity with aviation technical terminology and an understanding of regulatory documentation processes.
  • Highly organised, able to work independently, and adept at managing multiple tasks. Excellent communication skills and the ability to advise staff on training and compliance needs.
  • Demonstrates a professional demeanor when dealing with confidential data, financial records, and official reporting to regulatory bodies.
